How members get texts

Members don't sign up on a website. They give their mobile number to their own fire department or EMS agency and agree to get credential reminder texts. The agency then adds the number to CertlyPro.

Effective date: October 1, 2026

  1. Text: CertlyPro: Desert Valley Fire signed you up for credential reminders. Msg frequency varies. Msg & data rates may apply. HELP for help, STOP to opt out.
  2. Text: CertlyPro: Desert Valley Fire: Maria, your CPR / BLS expires in 30 days. Send your new card: https://www.certlypro.com/a/k7Qm2xP9 Reply STOP to opt out
  3. Member replies: STOP
  4. Text: CertlyPro: Desert Valley Fire: You're opted out and won't get more texts. Reply START to opt back in.

The program

CertlyPro Credential Reminders texts members of fire and EMS agencies that use CertlyPro when one of their certifications is about to expire, has expired or is missing, with a private link to send a photo of the new card. The texts are about certifications only, never marketing. Message frequency varies: usually up to 4 texts for each certification as it nears its expiration date (your agency sets the schedule), plus an answer when you text us. Msg & data rates may apply. Reply STOP to opt out, HELP for help.

Step 1: The member agrees, with their agency

A member gives their mobile number to their agency, for example in hiring or onboarding paperwork, on a sign-up sheet or form, or by telling their credentialing coordinator, and agrees to get credential reminder texts. Agencies give their members this notice when they collect the number:

[Agency name] uses CertlyPro to text you reminders when a certification is about to expire. By giving [Agency name] your mobile number for credential reminders, you agree to get automated texts from [Agency name] through CertlyPro. Message frequency varies: usually up to 4 texts for each certification as it nears its expiration date (your agency sets the schedule), plus an answer when you text us. Msg & data rates may apply. Reply HELP for help or STOP to opt out. Texts are optional: if you'd rather not get them, tell [Agency name] or reply STOP, and [Agency name] will reach you another way. Terms: https://www.certlypro.com/sms-terms. Privacy: https://www.certlypro.com/privacy.

Every agency agrees to this in our Terms of Service: it adds a member's mobile number only after the member has given it to the agency and agreed to these texts, and it stops a member's texts when they ask.

Step 2: The agency adds the number to CertlyPro

Only an agency's signed-in owners and coordinators can add a member's number, one at a time on the member's page or from a spreadsheet. Next to the mobile number, they see:

Mobile phone(602) 555-0142
Reminders are texted here. Add a mobile number only if the member gave it to your agency and agreed to get credential reminder texts.

And before importing a spreadsheet with mobile numbers:

Import 120 rows
By importing mobile numbers, you confirm each member gave theirs to your agency and agreed to get credential reminder texts.

CertlyPro records who added each number and when. Members found only in a public state certification registry are never texted: CertlyPro texts only people an agency has added as members, at the number the agency entered.

Step 3: CertlyPro confirms by text

Nothing is texted when a member is added. The first text a number gets is a one-time confirmation, sent right before its first reminder. It says who is texting and why, how often, that message and data rates may apply, and how to get help or opt out. It is in the member's language, English or Spanish:

  1. Text: CertlyPro: Desert Valley Fire signed you up for credential reminders. Msg frequency varies. Msg & data rates may apply. HELP for help, STOP to opt out.
  2. Text: CertlyPro: Desert Valley Fire te manda recordatorios de credenciales. Frecuencia variable. Pueden aplicar tarifas. AYUDA para ayuda, STOP para cancelar.

CertlyPro records when the confirmation was sent. A number that has opted out never gets one.

Step 4: Reminders arrive

Texts come from CertlyPro's number, between 8am and 9pm in the agency's time zone, in English or Spanish. Each one starts with CertlyPro and the agency's name and ends with how to opt out. A real example:

  1. Text: CertlyPro: Desert Valley Fire: Maria, your CPR / BLS expires in 30 days. Send your new card: https://www.certlypro.com/a/k7Qm2xP9 Reply STOP to opt out

Stopping texts and getting help

  • Reply STOP (or PARAR, CANCEL, UNSUBSCRIBE, or “stop texting me”) to any text. One confirmation comes back, then no more texts to that number, from any agency, until the member replies START.
  • Reply HELP for help. The answer looks like this:
    1. Text: CertlyPro: Desert Valley Fire: credential reminders. For help, email support@certlypro.com. Reply STOP to opt out.
  • A member can also ask their coordinator, who can stop the texts on the member's page.
